Images have always been used to convey knowledge – from cave paintings to modern comics. They promote thinking and planning because they appeal to our brains intellectually. We learn new things better when we link them to familiar concepts. Images help reduce complex content to its essentials.

Since the 1970s, consultants in particular have been using visualizations to make group processes clearer and more efficient. Images help to avoid misunderstandings, because words are often understood differently. A simple sketch makes thoughts visible and thus promotes a common understanding. How we plan your graphic recording.

1. Kick-off
Every graphic recording begins with a meeting involving the client, during which objectives are defined and content is planned jointly. The budget is then determined based on the duration of the event.

2. Layout
The layout might be discussed in advance to make sure all the key elements fit the format according to the agenda. Certain elements, like titles or a key visual to catch the eye, can be sketched out beforehand.

3. Before the event
On the day of the event, the equipment—drawing board, pens, paper—is carefully packed and delivered to the venue. Final preparations are made immediately before the event, and the drawing board is set up. Now we're ready to go!

4. After the event

After the event, we can reproduce the results photographically and provide them as digital data upon request. We will hand over the originals on paper to the client.

FAQ

What is needed for preparation? What do I, as the client, need to provide?

For a successful live recording, we prepare thoroughly and coordinate the schedule in advance with the event team. The layout is roughly planned. In terms of content, we align with your experts, make use of provided materials, or conduct our own research. This is especially important for complex topics or dense programs. Speech manuscripts or a moderation guide provided in advance are also extremely helpful.

When will I receive the final product, and how are the usage rights defined?

We usually draw with pens on paper, in a landscape format. The drawing is either handed over directly on-site or taken with us for professional photography and digital processing. For digital graphic recordings, you will receive the image file after the event. Revisions or translations are possible. In all cases, the usage rights are transferred to you.

What should I provide as the client at the event?

Hardly anything! We bring all the necessary equipment with us. For an analog graphic recording, it’s best to provide a well-visible space in front of or beside the seating area for the drawing wall, which is nearly three meters long. For a digital graphic recording, all that’s needed is an easily accessible power outlet, an HDMI connection, and, if possible, a standing desk or a chair.

Can you present the graphic recording at the end of the event?

We are happy to present our work in front of an audience – either by the drawing wall or on the big stage, whether in front of 10 or 200 people. This can also be planned in dialogue with the moderator. A spoken summary of the graphic recording is always a great way to conclude an event.

Isn’t it just a doodle anyone could make? What’s the true value of a graphic recording?

A graphic recording is much more than just doodle. A well-crafted recording connects the relevant aspects and key themes of your event or presentation, creating clarity. Graphic recorders are trained to actively listen, link the content in real time, and translate it into meaningful visuals.

What if I’m planning an online event? Can a graphic recording also be created during a video conference?

Of course! That’s no problem. We are happy to accompany your online event via screen sharing. At the end, we can present the drawing on screen and provide it as an image file.

Our event is in English or French – can you also work in other languages?

No problem at all! We can support events in German or English, and French is also possible. If needed, the images of a graphic recording can be translated afterwards, so that different language versions are available for different audiences.

When do the graphic recorders arrive before the event starts?

We arrive on site at least one hour before the event begins to set up and coordinate with the client’s team. Together, we define the optimal position for the drawing wall and assemble it. If needed, we also align with the technicians or plan how the drawing can be projected at the end of the event.
